GoHighLevel & n8n automation

The follow-up nobody sent,
sent every time.

Missing documents chased. Stalled leads flagged. Bookings confirmed and reminded. Every call, form and reply written to the right place — inside the GoHighLevel you already pay for. Built by the engineer, priced per workflow, documented so you can change it.

[01] What we build

Nine workflows we've built
more than once.

Each one is a $400 build on its own, or part of a $1,200 system. Your wording, your timing; nothing sends you haven't read.

Missing-document chaser

Client owes paperwork → reminder on day 2, 4 and 7 listing exactly what's missing → escalates to your team → stops the second it arrives.

Brokers · clinics · law

Stalled-lead alert

Any file or lead with no activity for X days lands on a morning list with the stage, the last touch and who owns it.

Every pipeline

Speed-to-lead

New lead from a form, ad or call → instant text and email in your voice → task for the right person → follow-up sequence until they reply.

Home services · real estate

Missed-call text-back

Ring goes unanswered → text within seconds → booking link → the lead is in the pipeline before they've dialled the next name.

Trades · dental

Booking, reminders, no-shows

Confirmation, day-before and hour-before reminders, reschedule link, and a no-show sequence that refills the slot.

Clinics · consultants

Estimate & invoice follow-up

Quote sent and not accepted → three nudges over ten days with the one objection handled → owner notified on silence.

Trades · agencies

Pipeline & stage automations

Stages, custom fields, tags and the rules between them, so the pipeline moves itself and the reports mean something.

System build

Integrations via n8n

Asana tasks, Google Sheets, QuickBooks, Slack alerts, a lender or client portal — GoHighLevel talking to the tools around it.

+ $400 each

Morning brief

One message at 8am: what's stalled, what's due, what came in overnight, what needs a human today.

[02] How it goes

Access on Monday,
live by Friday.

Day 1 — Map

A 30-minute call. Your stages, your messages, who gets escalations, what "stalled" means in days. You keep your wording; we keep the logic.

Day 2–3 — Build

Workflows, fields and templates inside your account. Nothing goes live yet.

Day 4 — Test

We run your real scenarios — the client who never replies, the file that stalls at the lender — and you approve every message.

Day 5 — Live + doc

Switched on, with a one-page doc: what fires when, how to change the wording and the day counts, how to pause a file.

[03] Pricing

Per workflow,
not per hour.

Hourly punishes you for hiring someone fast. Fixed prices, published, about $100 under what agencies charge for the same build.

Workflow$400 one-off

One automation, built, tested, documented. Live inside a week.

System$1,200 one-off

3–5 workflows plus one outside integration. Pipeline, follow-ups, reminders, escalation, morning brief. Two weeks.

Care plan$200 / month

Optional, cancel any month. Monitoring, fixes, and up to two hours of changes a month.

Against one hire

A coordinator to chase follow-ups is $3,000+ a month and does it when they remember. The chaser is $400 once and never forgets. When the phone is the problem too, the voice agent plugs into the same pipeline.

[04] Questions

Asked before
every first workflow.

Do I need to pay for AI usage?

No. Automation workflows are rules and timers inside GoHighLevel and n8n. Your GoHighLevel subscription and SMS are billed to you by GoHighLevel as they are today. If a workflow reads documents with AI, that runs on our key and costs cents.

What is the care plan?

$200 a month, cancel any month: monitoring, fixes when GoHighLevel or a connected tool changes something, and up to two hours of changes a month — wording, day counts, new stages. You text, it's done. No re-quoting small things.

How fast is one workflow live?

Inside a week from getting access: a day to map it with you, two to build and test against your real scenarios, then you approve every message before it goes live.

Can it write to Asana, Sheets or QuickBooks?

Yes, through n8n. One outside integration is included in the $1,200 system; extra integrations are $400 each.

What do you need from me to start?

A user invite to your GoHighLevel sub-account, your stages in order, the messages you send today, who gets escalations, and what "stalled" means to you in days. That's the whole list.

Start here

Tell us the one follow-up
that keeps slipping.

We'll map it on a 30-minute call and tell you what it costs — usually $400 — before you decide anything.

Two years of GoHighLevel lead-capture and follow-up pipelines across 30+ businesses feeding one unified CRM, then seven production voice agents on Vapi and Retell. Small on purpose: you talk to the engineer who writes the code, not an account manager.
